How we use AI

We use AI to enhance our work, not to replace it.

We use AI to help with reports, research, drafting and organising, so our team has more time to review your file and advise you. Trained people review everything before it reaches you or CRA. AI does not prepare or file your returns, and you can always talk to a person.

Where AI helps

Better reports and research, reviewed by people

Most of what AI does here is routine: a first pass that a person then checks, corrects and finishes.

Summarising documents you upload

A long CRA letter or a stack of statements gets a short summary first, so the person on your file can find what matters faster. They still read the original.

Reviewed by our team

Pulling figures from documents

Amounts from receipts, slips and statements are picked up once, so nobody types the same numbers twice. A person checks them against the source.

Reviewed by our team

Drafting monthly report commentary

For bookkeeping and fractional CFO clients, AI can write a first draft of the notes that explain your month. Our team rewrites them with what they know about your business.

Researching rules

AI helps us find the right rule, form or deadline faster. We confirm the answer against the official source before we rely on it.

Drafting and organising

First drafts of routine emails and checklists, and sorting what you send us so it lands in the right place in your file. A person edits and sends.

Simple questions in Finvo AI

Finvo AI (our website chat) answers simple questions about our services from our own website content only, in the language you write in. It doesn't see your file, and it points you to our team for anything about your situation. After you type your first question, and before it answers, it asks for your name, email, phone and business type, so a person on our team can follow up. We never share or sell those details. It runs on Anthropic's Claude (Sonnet). Your questions go to Anthropic to generate the reply; your email and phone never do. When the chat ends, the conversation, your name and business type go to Anthropic's Claude (Haiku) to write a short summary for our team. We keep the conversation and a short summary of it with your enquiry so our team can pick it up, and we delete them when you ask. If you come back within 30 days, your browser keeps a random identifier and your first name so the chat can offer to continue as you without asking for your details again; "Not you? Start fresh" removes it. Finvo AI has no access to client files or the portal. What it keeps, and for how long, is on our privacy page.

Human review

Every piece of work ends with a person

Whether AI helped or not, the same people check your work before it goes anywhere.

01

AI helps with a first pass

A summary, a set of figures or a draft paragraph. Useful as a starting point, never treated as the answer.

02

Our team checks and decides

Trained people compare it with your documents, fix what's wrong and make every decision about your file.

03

A senior manager reviews it

Reports, filings and advice are reviewed by a senior manager before they reach you or CRA. Our senior managers are listed on our team page.

Where AI stops

The decisions stay with people

AI is a tool our team uses, not someone who works on your file. These parts of the job are done by people, every time.

AI does not prepare or file your returns. Your tax returns are prepared and reviewed by our team.

  • Tax decisionsWhat to claim, how to structure and what to file are decided by our team.
  • Preparing and filing returnsReturns are prepared by people and reviewed before they are filed.
  • Signing anythingAI doesn't sign, approve or authorize anything for you or for us.
  • Speaking to CRAWhen you authorize us on CRA, it's our team who deals with CRA for you.
  • Anything without reviewNothing AI helped with reaches you or CRA until a person has checked it.
  • Your contact personA senior manager who knows your file stays your main contact.
Your information

How we look after your information

The same care applies to your records whether or not AI is part of the job.

Not in public AI tools

We don't put your personal details, such as your name, SIN or account numbers, into AI tools. The website chat strips anything that looks like contact details before it is processed, and it does not see your file.

Access is limited

Your file is open to the people working on it, not to everyone at Finvo.

People review the output

Anything AI helps produce is checked by a person against your documents before it reaches you.

Documents go through the portal

Send documents through the secure client portal. Please don't send your SIN or documents by regular email.

Our privacy policy explains how we collect, use and keep personal information, including the visit counting on this website (Google Analytics, no personal details, and you can opt out). If you have a question about how AI is used on your file, ask us directly.

Questions

AI at Finvo, answered

Does AI prepare or file my tax return?

No. Your return is prepared by our team, and a senior manager reviews it before it is filed. AI does not prepare, sign or file returns.

Will a person review the work AI helps with?

Yes. Trained people on our team review every report, letter and piece of advice before it reaches you or CRA. We treat anything AI produces as a first draft, not a final answer.

Do you put my personal information into public AI tools?

No. We never put client names, SINs or account numbers into any AI tool, public or paid. The AI services we use are on business plans (a Claude Team plan and paid business plans for the others), whose terms keep business data out of model training by default. Access to your file is limited to the people working on it.

What is Finvo AI?

Finvo AI (our website chat) answers simple questions about our services using our own website content only, and replies in the language you write in. It doesn't see your file and doesn't give tax advice; for anything about your own situation, it points you to our team. After you type your first question, and before it answers, it asks for your name, email, phone and business type, for our team. It runs on Anthropic's Claude (Sonnet); your questions go to Anthropic to generate the reply, your email and phone never do. When the chat ends, the conversation, your name and business type go to Anthropic's Claude (Haiku) to write a short summary for our team. We keep the conversation and a short summary with your enquiry, and delete them if you ask. Finvo AI has no access to client files or the portal.

Can I ask you not to use AI on my file?

Yes, you can ask. Tell us by phone, by email or through the client portal, and a senior manager will talk you through what that means for your file.

Why do you use AI at all?

To take routine steps off our team's desk, such as typing figures twice or writing a first draft, so they have more time to review your numbers and advise you. The judgement stays with people who know your business.

Talk to a person

Questions about AI, or anything else?

You can always talk to a person. Ask how AI is used on your file, or ask us not to use it, and a senior manager will talk it through with you.
