The software we work in, and what it means for you.
This page lists the tools we work in, so you know what to expect and what we can take over: bookkeeping software, payroll and payment tools, tax software, registries, the client portal, how we talk to you, how we keep your data safe and where AI helps. If you already use one of them, nothing changes; we join your file.
Bookkeeping in the software you already have
Most of our clients' books live in QuickBooks Online or Xero, and we hold the QuickBooks ProAdvisor and Xero Certified Advisor certifications. We also keep books in Sage 50, Wave, Odoo and Zoho Books.
We can work in most accounting software. Our team has 60+ years of combined experience working with accounting and bookkeeping systems, and we provide ongoing internal training, so whoever knows a tool teaches the rest. If yours is not listed, ask.
If you are already on QuickBooks Online, nothing changes; we join your file as the accountant user, with the access level appropriate for the agreed work. Accountant access may permit changes; you never need to share your bank password. You keep your own login and your own numbers, and you can look at them any time.

- Xero Certified Advisor
- Sage 50
- Wave
- Odoo
- Zoho Books
Bank feeds connect through your accounting software; we never need your online banking password.
Switching or starting fresh
Not on any software yet, or unhappy with the one you have? We set up a new file or move your books across, bring in the opening balances and connect the bank feeds. Behind on past months? Catch-up work is quoted on its own. We confirm the price on the free call, before any work starts.
Pay runs, remittances and paying your bills
Pay runs, CRA source deductions, T4s and records of employment run through ADP or Sage 50 payroll, whichever fits the size of your team. For paying suppliers and CRA we use Telpay, and e-transfer or EFT where your bank allows it.
Already on ADP or Sage 50? We take over the pay runs where they are; nothing changes for your staff. Starting payroll for the first time? We set it up and register your CRA payroll account.

Payments go out only on your approval; we prepare, you release.
Returns prepared in professional software, filed electronically
Personal (T1) and corporate (T2) returns are prepared in TaxCycle or ProFile and filed electronically with CRA. Once you authorize us as your CRA representative, we see the information your CRA authorization allows, so slips, instalments and notices are checked against your CRA account before we file.
You do not need any tax software. Send your slips through the portal, sign electronically, and a senior manager reviews the return before it goes to CRA.

Finvo is not a CPA firm. We handle bookkeeping, payroll, tax filing, incorporation and fractional CFO work. Audits, review engagements and compilation engagement reports need a CPA firm, and we can point you to one.
Company filings, straight to the registries
Incorporations, annual reports and routine changes are filed with BC Registries through Corporate Online, with Corporations Canada for federal companies, and with the Alberta Corporate Registry, where filings go through an authorized registry agent as the province requires. Either way the filing is handled for you.
This is general information, not legal advice. On anything that needs a lawyer, such as a shareholders' agreement or a dispute, we work alongside yours.
Your minute book, registers and resolutions are kept up to date in one place, and you get copies through the portal, so you are not hunting for them when a bank or a buyer asks.

One portal for everything you send and sign
Everything you send us lands in the TaxDome client portal: documents, messages, e-signatures, invoices and a phone app for receipts. Behind it we work in Google Workspace (Drive, Docs, Sheets) and Microsoft Office (Excel, Word, PowerPoint), so a report can reach you as a PDF, a spreadsheet or a slide deck, whichever you can use.
Send tax slips, ID and anything with your SIN through the portal, not by email. You get one place to find every document we have ever exchanged, and the guides show you how it works.
Where you send, sign and read things
- TaxDome client portal
- Google Workspace Drive, Docs, Sheets
- Microsoft Office Excel, Word, PowerPoint
We never ask for your portal password.
One number, and the apps you already use
Our business phone lines run on QUO, so one number, (236) 300-3322, reaches all three offices. If you would rather message, we use WhatsApp and Facebook Messenger for clients who prefer them, and email on Google Workspace. Meetings are by video or phone, or in person in Surrey, Edmonton or Courtenay by appointment.
Internally the team works in Slack and Google Chat, so a question you ask one person reaches everyone on your file.
Use whichever channel suits you. For documents, though, the portal is the safe route: please don't send your SIN by WhatsApp, Messenger or email.

How we keep your information safe
Passwords and shared logins live in Bitwarden, a password manager, so nobody keeps them in a spreadsheet or an email. Our Google Cloud and Google Workspace accounts require two-step sign-in. We use Claude Team and business versions of other AI services. These services do not use business inputs and outputs for model training by default under their terms, and we do not opt client information into training or feedback programs. We check each service's product, account settings and data terms before any client information goes into it.
Your file is open to the people working on it, not to everyone at Finvo. The website and its chat run on Google Cloud; the privacy page says what each one keeps and for how long.
We never ask for your portal password, and we never need your online banking password. If you ever get a message that claims to be from Finvo and asks for either, call us on (236) 300-3322.
What protects your data day to day
- Bitwarden password manager
- Two-step sign-in Google Cloud and Workspace
- Claude Team plan not used for training by default
- Paid AI business plans
- TaxDome portal for documents
Documents with your SIN or ID travel through the portal only, never by email or messaging apps.
AI drafts, checks and researches. A person decides.
We use Claude, Gemini, ChatGPT and Perplexity to draft, check and research: a first summary of a long CRA letter, a draft of the notes that explain your month, a faster search for the right form or deadline. Our Claude account is a Team plan and the others are paid business plans, never free personal accounts. A person reviews everything before it reaches you or CRA, and AI does not prepare or file your returns.
We never put client names, SINs or account numbers into any AI tool. You can ask us not to use AI on your file, and a senior manager will talk you through what that means.

Finvo AI, the chat on this website, answers general questions from our own site content; it never sees your file.
Your industry's software, read and reconciled
Many clients run their business in software built for their trade. We read and reconcile from those reports rather than asking you to re-key anything: AppFolio for property management, Brightwheel for daycares, Guesty for short-term rentals, point-of-sale exports from restaurants, and dispatch exports from trucking companies.
If your software can export a report, we can usually work from it. Tell us what you use on the call and we will say how it would feed your books.

No page for your trade yet? Ask anyway; the method is the same.
Software and tools, answered
Can you work in my existing QuickBooks Online file?
Yes. You invite us as the accountant user on the file you already have, with the access level appropriate for the agreed work, and we work there. Accountant access may permit changes; you never need to share your bank password. You keep your own login and your own data. The same goes for Xero, Sage 50, Wave, Odoo and Zoho Books.
Do I have to switch software?
No. We work in the software you already use. We only suggest a change when your current tool is holding your books back, and then we explain why and what the move would involve before anything changes.
What if my software isn't on this page?
Ask us. Our team has 60+ years of combined experience working with accounting and bookkeeping systems, and we provide ongoing internal training, so whoever knows a tool teaches the rest. Most accounting tools share the same shape, so we are quick in a new one.
Which payroll software do you use?
ADP and Sage 50 payroll. We run pay, CRA remittances, T4s and records of employment in whichever fits the size of your team, and we can take over an existing ADP or Sage 50 payroll where it is.
Which tax software do you use?
TaxCycle and ProFile, with returns filed electronically with CRA. Once you authorize us as your CRA representative, we check your slips, instalments and notices against your CRA account before we file.
Is my data safe with the AI tools you use?
We never put client names, SINs or account numbers into any AI tool. We use Claude Team and business versions of other AI services. These services do not use business inputs and outputs for model training by default under their terms, and we do not opt client information into training or feedback programs. We check each service's product, account settings and data terms before any client information goes into it. A person reviews everything AI helps with, and you can ask us not to use AI on your file.
Can you handle AppFolio, Brightwheel or Guesty reports?
Yes. We read and reconcile from the reports those systems produce: owner statements and rent rolls from AppFolio, tuition and payment reports from Brightwheel, payouts and bookings from Guesty. Restaurant point-of-sale exports and trucking dispatch exports work the same way.
Do you use Excel?
Yes, every day. Excel and Google Sheets carry our working papers, schedules, forecasts and anything your software can't report on its own. If you want a report as a spreadsheet instead of a PDF, say so. We also offer Excel consulting for your own spreadsheets.
Where do I send my documents?
Through the TaxDome client portal, which also handles messages, e-signatures and invoices and has a phone app for receipts. Please don't send your SIN, ID or tax slips by email, WhatsApp or Messenger.
Do you set up new companies in the software?
Yes. For a new business we set up the file, the chart of accounts, the bank feeds and payroll if you have staff. For an existing business we move your books across and bring in the opening balances. We confirm the price on the free call, before any work starts.
